Can you connect the dispatch software we already use?
We first review its available integrations, account permissions, and supported fields. Some connections can create or update a lead directly; others need a notification or manual handoff. We confirm what is possible before proposing the workflow and do not assume every field-service platform supports the same actions.
Will the system book HVAC jobs automatically?
Only where the scheduling tool and your approved rules support it. A consultation slot may be suitable for automatic booking; an urgent repair may need a dispatcher to confirm location, capacity, and job fit. The confirmation message must reflect what has actually been scheduled.
Do we need an AI receptionist for missed-call follow-up?
No. A rule-based missed-call workflow may be enough to acknowledge an inquiry and route it to your team. An AI receptionist is a separate option when you need conversational intake. We scope it around approved information, escalation rules, and the limitations of your tools.
How do follow-up messages stop?
We define stop conditions before launch, such as a reply, a confirmed appointment, a closed inquiry, or an opt-out. Your team reviews the message schedule and approved wording. Existing contacts and new inquiries should not enter duplicate sequences.
Can we start with one workflow?
Yes. One entry point, one destination, and a clear owner make a useful starting scope. For example, start with missed-call intake and a dispatcher task, then add estimate follow-up or maintenance reminders once the first workflow is tested.
What does Lumen need from our team?
We need a process owner, access to the agreed tools, service-area and business-hour rules, inquiry categories, approved messages, and test contacts. We also need to know who handles urgent or unusual requests and how the team confirms a booking or closes a lead.
How do you measure whether the workflow helps?
We agree which events can be tracked, such as a captured inquiry, successful notification, staff response, and confirmed appointment. Your team supplies lead-quality and job-status context. We separate workflow delivery from booked work and do not treat every message as a recovered job.
